Sonoran Prevention Works

Objective:

Sonoran Prevention Works, a prominent non-profit organization dedicated to public health in Arizona, provides essential services including Narcan training and other health interventions. The primary objective of this project was to enhance the efficiency of their community outreach programs by transitioning from a cumbersome paper-based data collection system to an electronic format. The aim was to reduce the time and resources spent on manual data entry and management, thereby allowing staff to allocate more time to engaging directly with community members and improving service delivery.

Solution:

Zeihan Prohealth collaborated with Sonoran Prevention Works to address their need for a more efficient data management system. We designed and developed a customized electronic data intake form using Jotform, a versatile and user-friendly platform. Key aspects of the solution included:

  • Customization: The electronic form was tailored to meet Sonoran Prevention Works' specific needs, capturing relevant data fields and workflows to streamline their processes.
  • HIPAA Compliance: Ensured that the form and data storage were fully compliant with HIPAA regulations, protecting sensitive participant information and maintaining confidentiality.
  • User-Friendly Interface: Jotform’s intuitive design facilitated easy data entry and access, enabling staff to quickly adapt to the new system.
  • Real-Time Data Collection: The electronic form allowed for immediate data capture and secure cloud storage, eliminating delays and reducing the potential for errors associated with manual data transcription.

The solution was implemented with training sessions for staff to ensure a smooth transition from paper-based forms to the digital system, and ongoing support was provided to address any issues or adjustments needed.

Outcome:

The transition to an electronic data intake form had several significant outcomes:

1. Increased Efficiency:

>Staff members experienced a notable reduction in the time previously spent on manually entering and transferring data from paper to Excel spreadsheets. This time-saving enabled them to spend more time in direct community engagement and outreach.

2. Enhanced Data Accuracy:

>The electronic system reduced errors associated with manual data entry, leading to more accurate and reliable data. This improvement facilitated better analysis and reporting.

3. Improved Community Engagement:

>With administrative tasks streamlined, staff could focus more on understanding and addressing the needs of the community. Enhanced engagement led to more effective public health interventions and services.

4. Valuable Insights:

>The collected data provided deeper insights into community needs and program effectiveness, informing strategic decisions and helping to refine outreach efforts.

Impact:

The successful implementation of the electronic data intake form had a profound impact on Sonoran Prevention Works:

1. Operational Efficiency:

>The project demonstrated how integrating digital tools can optimize non-profit operations, leading to more efficient use of resources and time. It set a benchmark for future digital transformations within the organization.

2. Strengthened Community Service:

>By improving data management, the organization was able to better tailor its public health services and interventions to meet the specific needs of the community, thus enhancing overall service delivery and effectiveness.

3. Enhanced Organizational Capabilities:

>The experience highlighted the value of technological solutions in non-profit settings, showcasing how such innovations can drive meaningful improvements in program management and community impact.

4. Precedent for Innovation:

>The project served as a model for integrating digital solutions into public health operations, potentially influencing similar initiatives and encouraging other organizations to adopt advanced tools for better management and outreach.
